Privacy questions and requests go to the same address. Real estate work is carried out under Queensland real estate licence number 3833537.
1. Who we are
previewhomes.com.au runs a private, invitation-only off-market property platform on the Sunshine Coast. Owners register a home, buyers register a brief, and we match the two without either side being published anywhere.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we treat ourselves as bound by them. This policy tells you exactly what we hold, why, and what you can do about it. It covers the website, the buyer and seller portals, and the emails we send.
2. What we collect
What we hold depends on how you use the platform.
Everyone with an account
- Name, email address, and phone number where you give it. Passwords are stored as a one-way hash, so we never see them.
- Your role, whether you are a buyer, a seller, or both, when you chose it, and which portal you last used.
- If you sign in with Google, the name, email address, and profile image Google gives us. We do not receive your Google password and we do not read your Gmail, contacts, or calendar.
- Whether you have verified your email, and when you accepted our terms.
Buyers
- Your brief: target suburbs, budget range, property types, bedrooms, bathrooms, car spaces, land size, features you would like, buying timeline, finance position, and whether you need to sell an existing home first, including that property's address if you give it.
- Which homes have been released to you, your inspection requests, confirmed inspections, and any feedback you give on a property.
Sellers
- Your property address, attributes, features, price expectations, timing, photos, and notes you add. Photos can contain personal information, so please do not include documents, people, or number plates you would rather we did not hold.
- Appraisal requests, listing stage history, and inspection activity on your property.
Everyone else
- Enquiries through the contact form, appraisal requests, and blog subscriptions: your name, email, and whatever you write to us.
- Address suggestions you select when a form uses Google address lookup. What you type into that field goes to Google to return suggestions.
- Product analytics: pages viewed, actions taken in the app, timestamps, and technical information such as browser type. These are our own first-party events, not a third-party advertising network.
- Email delivery information from our email provider, such as whether a message was delivered, bounced, or unsubscribed.
We collect information from you directly wherever we can. If someone else gives us your details, for example a co-owner adding you to a property enquiry, we will tell you when we first contact you.
3. Why we collect it
- Matching. Buyer briefs and property details are the entire basis of the match. Without them there is no service.
- Running inspections and listings. Contact details are used to confirm times, release addresses, follow up, and keep both sides informed.
- Service emails. Verification, password resets, inspection updates, listing updates, and match alerts.
- Operating and improving the platform. Analytics, feedback, and support.
- Security and abuse prevention. Detecting account misuse, scraping, and breaches of confidentiality.
- Legal and licensing obligations. Record keeping required of a licensed Queensland agent, and anything else the law requires.
We do not sell your personal information. We do not trade it, rent it, or hand it to advertising networks.
4. Sensitive information
We do not ask for sensitive information as the Privacy Act defines it, including health, racial or ethnic origin, religious or political views, or membership of any group. Please do not put it in a brief, a listing, or a note. If you send it to us anyway, we will delete it unless we need it for a specific reason you have agreed to.
5. How matching works
Our system automatically scores every registered buyer against every registered property, using the fields in your brief and the property's attributes. That score produces a ranked shortlist and an anonymous buyer pool count for the owner.
That score also drives release. Once an owner approves their home and it goes live, homes scoring above our match threshold are released to matching buyers automatically, within a daily limit per buyer. No decision about you is made from anything other than the fields in your brief and the property's attributes, and our team can hold a home back, pause automatic release, or release one by hand. If you want to know why you were or were not matched to something, ask us and we will explain in plain terms, and a person will review it.
6. Who can see what
- Buyers see only the homes released to them. They see the suburb, with the full address released once an inspection is confirmed. Buyers never see other buyers, and never see how many other people a home has gone to unless we choose to tell them.
- Sellers see anonymous buyer pool information: how many registered buyers match their home and what those buyers are broadly looking for. Sellers never see buyer names, emails, phone numbers, or anything that would identify an individual buyer, unless a transaction makes that necessary and you are told.
- Our team can see full account, brief, property, inspection, and enquiry records, because that is what running the platform requires. Access is role-restricted and sensitive admin actions are logged.
- Others only receive your information where you ask us to share it, for example with your solicitor, broker, or a building and pest inspector, or where a transaction, the law, or a court requires it.
7. Service providers we use
We keep this list short on purpose. We describe providers by the role they play rather than by name. Each one is contracted to handle your data only for the service it provides to us, and nothing else. If you need to know who a specific provider is, contact us and we will tell you.
- Hosting, database, and authentication. Our database, file storage, and sign-in system run with a managed cloud platform. Your account, brief, listing, and photo data lives in an Australian region instance and stays there.
- Email delivery. Our transactional and match emails are sent through a specialist email delivery provider, which processes the recipient name, email address, message content, and delivery outcomes such as whether a message was delivered or bounced.
- Sign-in and address lookup. Google is involved only if you use it: Google Sign-In when you choose that option, and Google address lookup when you type an address into a form that offers suggestions.
- Website analytics. We use a website analytics provider to measure how the site is used: pages viewed, actions taken, approximate location based on IP address, and device and browser type. We use this to improve the site.
- Website hosting and delivery. Our deployment platform serves the website and processes requests in transit.
- Advertising measurement. With your permission we use the Meta pixel on our public website pages to measure our advertising on Facebook and Instagram. It records the pages you view on our public site, your IP address, your device and browser type, and a cookie identifier, and sends them to Meta Platforms. Meta may combine this with your Facebook or Instagram account. It does not run inside the buyer portal, the seller portal, or any signed-in account page.
We do not use data brokers and we never sell your personal information. Apart from the advertising measurement described above, we do not build advertising audiences from your portal activity.
8. Overseas disclosure
Our platform data is stored in Australia. Some of the providers above are overseas companies, and limited data passes through their systems to deliver a specific function: email addresses and message content for delivery, sign-in and address-lookup data where you use those Google features, website usage data for analytics, and Meta Platforms, in the United States, for the advertising measurement described in section 7. The likely location of these overseas recipients is the United States. Before disclosing information to an overseas recipient we take reasonable steps to ensure they handle it consistently with the Australian Privacy Principles.
9. Emails and opting out
Account, security, inspection, and listing emails are part of the service and continue while your account is open. Match alerts, market updates, and blog emails are optional. When several homes are released to you at once, we group them into one match email.
You can change what you receive in email preferences inside your account, or use the unsubscribe link at the bottom of any optional email. We act on unsubscribes promptly. We include our name and contact details in every email, as the Spam Act 2003 (Cth) requires.
11. How we protect it
- Data is encrypted in transit and at rest.
- Your account can only reach your own records. Access rules are enforced on our servers, not in your browser.
- Passwords are hashed and never stored in readable form.
- Listing photos are private and only reachable by people we have released a property to.
- Administrative access is limited to the people who need it, and admin actions are logged.
- If you think your account has been compromised, email us straight away.
12. How long we keep it
- While your account is open we keep your account, brief, and listing information so the platform works.
- When you delete your account we remove you from matching immediately and stop showing your listings. Your data is then held for a 30 day grace period so you can change your mind, and is permanently purged after that.
- Transaction and agency records are kept for the period required of a licensed Queensland agent, currently five years, even after an account closes.
- Enquiries and feedback are kept while they are useful for support and then deleted.
- Anything we no longer need and are not required to keep is destroyed or de-identified.
13. Access, correction, and deletion
- See and correct most of it yourself. Your account settings, buyer brief, and property details are all editable in the app.
- Ask for a copy. Email us and we will give you the personal information we hold about you, normally within 30 days and at no charge.
- Ask us to fix something. If anything we hold is wrong or out of date, tell us and we will correct it.
- Delete your account. Use account settings, or email us. Section 12 explains what happens next.
- Stop optional emails. Email preferences, or the unsubscribe link.
- Stay anonymous. You can browse the public site and read the blog without an account. You cannot use the buyer or seller portals anonymously, because matching depends on knowing who you are.
We may need to verify who you are before acting on a request. If we cannot do what you ask, we will tell you why in writing.
14. If something goes wrong
We have a process for suspected data breaches. If a breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme, and we will tell you what happened and what to do about it.
15. Complaints
Email contact@previewhomes.com.au with "Privacy complaint" in the subject line, or write to 1/7 Margaret Street, Palmwoods QLD 4555. We will acknowledge it within 5 business days and give you a written response within 30 days.
If you are not satisfied with our response, you can escalate to the Office of the Australian Information Commissioner at oaic.gov.au.
16. Changes to this policy
We update this page when our practices change, and the date at the top always reflects the current version. If a change is material we will tell you by email or in the app before it takes effect.
